POSITION: Logistics Coordinator

DEPARTMENT: General Freight Oahu (GFO)

REPORTS TO: Office Manager

FLSA: Non-Exempt

POSITION SUMMARY:

The Logistics Coordinator is responsible for creating job orders as they come in, scheduling delivery of freight in a timely manner and ensuring accurate billing of services while providing excellent customer service to various clients and vendors. The coordinator must be responsive to both staff and customer needs and must be able to work effectively under pressure. The coordinator will need to be able to multi-task and maintain an organized work area. Responsible for coordinating the move process from point of inquiry to move completion, i.e., primary point of contact for a customer who is moving.

ESSENTIAL DUTIES:

  • Answer incoming email and phone inquiries within a timely manner in order to provide prospective clients with an accurate quote for job orders.
  • Coordinate with Tractor/Flatbed Dispatcher to create initial delivery schedule for all drivers’ routes and revise based on priority throughout the course of the day.
  • Serve as the liaison between the Tractor/Flatbed Dispatcher and Company’s clients in relaying scheduling information and/or changes in delivery requests.
  • Ensure accurate billing of services within the time constraints. Research, reconcile and resolve any billing issues that arise.
  • Perform administrative duties, which include but are not limited to, answering phones, email correspondence, data entry, faxing, filing, and making copies.
  • Provide back-up assistance to other Coordinators within the department and/or Tractor Dispatcher.
  • Assist with CFS and Interisland shipments

REQUIRED QUALIFICATIONS:

Education:

· Possess a High School Diploma or equivalent

Experience/Skills/Knowledge:

· 3 years of Customer Service experience

· 10-key by touch

· Must be organized, detail-oriented and able to multi-task

· Works with a high sense of urgency

· Have a working knowledge of software applications:

o MS Word, Excel, Outlook, Internet Explorer

· Possess strong interpersonal skills in dealing with all levels of employees, vendors and clients

o Ability to persuade and negotiate terms with vendors and clients

o Ability to deal with frustrated customers to remedy concerns

· Possess excellent decision-making skills with quick responsiveness to customers

PREFERRED QUALIFICATIONS:

Education:

· Associates in Science or Administration

Experience/Skills/ Knowledge:

· 1-3 years of freight/transportation experience

· Be able to give direction in order to complete tasks on time and accurately

MENTAL/PHYSICAL/COMMUNICATION REQUIREMENTS:

  • Required to complete multiple priorities with time-sensitive deadlines.
  • Work under minimal supervision and in fast-paced, high-pressure environments.
  • Apply logic and reasoning to solve complex problems.
  • Use sound judgment and discretion in performing work duties.
  • Must be flexible and able to adapt to change.
  • Requires excellent oral communication skills.
  • Must understand and carry out written and oral instructions.
  • Requires long periods of sitting at a desk, frequent use of computers and other clerical equipment, and speaking with various individuals via phones and two-way radios

WORKING CONDITIONS:

  • Indoors, air-conditioned office. May have to retrieve items on the loading dock periodically to assist will-call customers.

NORMAL WORK HOURS:

  • Monday – Friday, 7:00a.m. – 3:30p.m.
  • May require working overtime, on weekends and holidays per direction of GFO Office Manager

  • Follows and adheres to all internal policies and procedures, House and Safety Rules, and any employee policy guidelines if applicable.
  • Executes goals and directions provided by GFO Office Manager.
